How can I use Smartsheet as a Central Database Tool?

How can I use Smartsheet as a Central Database Tool?

A single version of the truth.

This is what most clients want. Smartsheet provides us with the ability to hold data in a single central source and share with collaborators at their required level of access.

Using Smartsheet as a Database Modules

Work your way through this process flow diagram to see which modules we’d recommend for you.

See tables below for more detail on each module
Each module is £425 / $525 for up to 6 delegates – this track is up to 7 modules long
1- Introduction to Smartsheet
ObjectiveDesign and create the grid sheet required to use as the master data source
Content* Navigating the Smartsheet Environment
* Creating a New Grid Sheet
* Setting Column Properties & Understanding Data Types
* Entering Data
Pre-Requisites* Attendance on or knowledge of the content of Business Process Mapping is useful but not essential

2 – Smartsheet Forms (OPTIONAL)
ObjectiveTo create a data collection form to populate the master data source
Content* Creating a Form
* Setting the Heading & Adding Descriptions
* Adding / Removing Columns
* Setting Column Attributes
* Adding Conditional Logic
* Controlling the Behaviour of the Form
* Sharing the Form
* Using the Form to Enter Data
Pre-Requisites* Attendance on or knowledge of all areas covered in our Introduction to Smartsheet module

3 – Smartsheet Automation (OPTIONAL)
ObjectiveCreating workflows within your sheet to enable the Smartsheet to notify/remind/request data as per your requirements
Content* Creating a Form
* Setting the Hea* Creating a Notify Someone workflow
* Creating a Reminder workflow
* Sending Update Request workflows automatically
* Setting up Approval workflows
Pre-Requisites* Attendance on or knowledge of all areas covered in our Introduction to Smartsheet module

4 – Smartsheet Logical Functions (OPTIONAL)
ObjectiveTo create helper columns based on IF() Functions to allow us to highlight specific data that meeting specified conditions (Not all processes will need helper columns, therefore this is an optional module)
Content* Creating a checkbox helper column to show that some criteria has been met using an =IF() Function
* Creating a text based helper column to show the status of a record using an Nested IF() Function
* Creating a RAG helper column to show a Red/Amber/Green ball to indicate the health of a record using a Nested =IF() function
Pre-Requisites* Attendance on or knowledge of all areas covered in our Introduction to Smartsheet module
* Previous knowledge on writing basic functions is useful but not essential

5 – Smartsheet Lookup Functions
ObjectiveTo be able to pull master data values from a master data source into other Smartsheets to ensure the most up-to-date data is always being used
Content* Exploring Function Syntax
* Nesting Functions
* Using =INDEX(MATCH()) functions (this is a more robust Formula than VLookups that were used previously)
Pre-Requisites* Attendance on or knowledge of all areas covered in our Introduction to Smartsheet module
* Previous knowledge on writing basic functions is useful but not essential

6 – Using Smartsheet Summary fields and function
ObjectiveTo analyse the master data using statistical functions in order to feed a dashboard with statistical data
Content* Add new Summary Fields containing =SUM(), =COUNT(), =AVERAGE() type functions
* Expand on the Summary Fields by using =SUMIF() and =COUNTIF() type functions
* Explore creating a second Grid type Smartsheet to analyse data using Cross Sheet References for an easier way to feed Charts in Dashboards
Pre-Requisites* Attendance on or knowledge of all areas covered in our Introduction to Smartsheet module
* Previous knowledge on creating basic functions is useful but not essential

7 – Smartsheet Dashboards
ObjectiveTo create a visual representation of the process
Content* Navigating the Smartsheet Environment
* Creat* Creating Row Reports
* Creating a Dashboard and adding the following widgets to it:
** Title
** Image
** Metric
** Charts (If applicable)
** Reports
** Shortcuts to Smartsheet Items or External URLs
Pre-Requisites* Attendance on or knowledge of all areas covered in our Introduction to Smartsheet module
