How can I use Smartsheet as a Central Database Tool?

A single version of the truth.

This is what most clients want, a single view of the data they have collected over time. At Smarter Business Processes we are often asked this question – How can I use Smartsheet as a central database tool? And fortunately Smartsheet has excellent capacity and facility to hold data and allow you to view and analyse the data from different perspectives.

Smarter tools

Smartsheet offers a wide range of functions that enable you to build and deploy smarter tools for your business. Building an online database tools is one of those smarter tools.

What is an online database tool ?

An online database tool is a database that is accessible from the internet or a local network, rather than stored on a server or computer. Databases can be used internally to store and track information about an organization or created for an external audience: customers and potential customers or the general public.

Online database tool

Online databases are hosted on websites or via software-as-a-service (SaaS) products on a web browser. By contrast, a cloud database is a database tool that solely runs on the internet (not a local network).

Cloud databases

Cloud databases are run by cloud computing platforms and can be accessed anywhere, usually by multiple users at a single time. Regardless of the hosting option, a database is typically conceptualized as a spreadsheet (grid layout) that stores data, whether numerical or qualitative.

Though, many websites with substantial, deep resources about a particular topic will also qualify as a database.

How does Smartsheet work as a database tool?

Smartsheet provides us with the ability to hold data in a single central source and share with collaborators at their required level of access. This means you can create tailored views for different users. It can be a universal database tool, a database administration tool, and if you already have a Smartsheet license already used for other functions it can be a bonus free database tool.

Learning now to use Smartsheet for its Database Modules

If you are planning to use Smartsheet as a database tool consider the various ways you can adapt the database modules available. There are a considerable number of database modules available for Smartsheet users. It is worth spending a little time to become familiar with the options. Then we can help with some of the Smarter training options listed below.

Work your way through this process flow diagram to see which modules we’d recommend for you, if you want to learn ow to use Smartsheet as a database tool.

See tables below for more detail on each module and the possibilities for Smartsheet to be deployed as a database tool.
